Hours/Schedule: 8 hours/week split over 2 days, (preferably Tues/Thurs, flexible)
Job Description: The Office Administrator will report to the Business Manager in a supportive role. The ideal candidate will be team-oriented self-starter, willing to ensure the smooth operations of the office in a variety of duties and excited to expand responsibilities as part of a growing company.
Maintenance of project records including keeping contracts current and in compliance
Light bookkeeping support including data entry of project costs, payroll, etc.
Continual update to employee records including billable hours, vacation schedules, etc.
Maintain company calendars as well as scheduling of client meetings
Facilities management including ordering supplies and handling office maintenance issues
Ongoing updates to Office Handbook and Procedures ensuring company compliance
Office phone support
Manage correspondence for Business Manager as needed
Excellent organizational skills
Proven experience as being confident, resourceful and inventive with ideas to improve efficiencies
Strong Proficiencies in MS Office Word and Excel ,as well as Quickbooks, a must
Experience with Outlook Calendar
Excellent verbal and written communications
Experience with Adobe Suite: Photoshop, In Design, Illustrator a plus
